The FAO Representation in Kigali is hiring an Office Assistant to coordinate and perform the full range of office support and administrative tasks, ensuring the smooth and efficient running of the office. This is a central role — you’ll be the organisational backbone of the country office, keeping information flowing, people connected, and operations on track.
What you’ll do
- •Manage the supervisor’s calendar, screen appointment requests, receive visitors, and handle sensitive or confidential correspondence with discretion
- •Coordinate office support for meetings, trainings, seminars, and events — including attending, preparing minutes, and monitoring follow-up actions
- •Review, record, and process incoming mail; draft responses to a wide range of correspondence; proofread outgoing documents for format, grammar, and style
- •Handle a variety of administrative duties including contract extensions, leave and attendance recording, budget preparation, and follow-up
- •Research, compile, and organise background information from various sources for reports, briefs, and speeches; generate statistical and other reports from databases
- •Coordinate the work of other office support staff, establish priorities, ensure equitable workload distribution, and train new staff on administrative procedures
- •Create and maintain filing and reference systems; review office procedures and recommend improvements; keep office websites up to date
Minimum requirements
- →Secondary school education
- →4 years of relevant experience in office or management support
- →Working proficiency in English (level C)
- →Very good knowledge of MS Office, internet, and office technology
- →Rwandan national or valid work permit holder
- →Must reside within commuting distance of Kigali
Nice to have
- →Intermediate proficiency in French (level B)
- →Working knowledge of Kinyarwanda (level C)
What we’re looking for
- →Strong knowledge of communication and documentation standards
- →Familiarity with corporate financial, travel, and HR systems and administrative procedures
- →Good understanding of the FAO organisational structure and procedures
- →Sound judgment, initiative, and the ability to handle sensitive matters with tact and diplomacy
